Use organization-shared memories and glossaries

Share a library with your organization, select it in an editor and understand access, filtering and save destinations.

Team resources let eligible Business and Enterprise members look up terminology and approved translations from libraries shared in the same organization. Each reviewer chooses the resources used for their current document. A project invitation and a resource share grant different access.

Share a library with your team

Open the organization controls

In enterprise settings, find Shared with the team. You need permission to share resources. Choose a Translation Memory or Glossary and select the specific library you own.

Choose its scope

Whole resource makes the selected library available. Subset (filter) limits it by source language, target language or domain. Use the language codes and domain values stored on your entries, for example en, it and legal. Blank fields impose no additional filter. A domain filter selects entries; it does not change the translation model’s tone or domain.

Create the share

Choose Read only for lookup, or Read & write to permit entry editing by authorized members. A writer also needs organization administrator status or the member editing permission. Editor lookup and editing use TM and glossary shares; raw terminology bases must first be reviewed into glossaries.

Select resources for a document

Open Editor resources

Open the Translation Editor or an eligible Document Editor, then choose Editor resources. Team resources lists the currently available matching shares. Resources are not selected automatically.

Select and order libraries

Check the shares to use and move them up or down. A filtered label identifies a subset share. Personal TM matches rank before team matches when their scores are equal; team matches then follow your chosen order.

Choose a save destination

Save approved translations to is separate from your search selection. Choose one of your memories, a writable named team memory, or Do not save to translation memory, then Save resources. Saving first saves pending editor work and refreshes the editor.

What these choices affect

  • Selected libraries supply segment TM and glossary suggestions. Results identify the team resource; another member’s original private document filename is not displayed.
  • Approved, unambiguous exact TM matches can be reused during retranslation. Conflicting approved targets remain alternatives for review. A fuzzy score does not make a suggestion an automatic translation.
  • Resource analysis uses the selected scope. Changing resources does not restart the original document translation or rewrite saved segments.
  • Approved work goes to the selected write destination when TM saving is enabled. A team destination shares the approved source and target text with authorized members and records the author. It does not copy the private document filename. Different targets remain alternatives.

Edit a shared entry and review its history

Open a shared suggestion

Select a segment in either editor. In Segment resources, find a team glossary or TM suggestion and choose Shared entry and history.

Review the entry

Check the source, target, notes, status and recent changes. Read-only members can inspect this information but cannot edit it.

Update or keep an alternative

Update shared entry replaces its translation, notes and status. Save as alternative preserves the original entry and creates a different translation. Shared changes affect future library lookups for authorized members; they do not rewrite existing document text.

Resolve stale edits

If another member changes the entry first, saving is refused. Choose Reload entry and review the current version before applying your change. Draft TM entries are excluded from approved suggestions.

Access and troubleshooting

The reader and resource owner must still belong to the same organization. Revoking a share or membership stops future retrieval. It does not remove wording already saved into a document. Resource settings are personal to each reviewer.
