Data we collect
We collect account details such as name and email address, documents uploaded for translation, translation outputs, glossary and translation memory data, usage records, payment status from Stripe, and security logs such as IP address, user agent, path, action, and timestamp.
How we use data
We use this data to operate translation workflows, keep account limits accurate, provide customer support, secure the service, process payments, and maintain features such as glossaries, terminology extraction, and translation memory.
Marketing communications
If you opt in, at signup or in account settings, we send occasional marketing emails such as product news, newsletters, and blog updates. This is separate from essential account and security emails, which are always sent. Consent is optional, recorded with the date it was given, and can be withdrawn at any time from settings or the unsubscribe link in any marketing email. See the Communications page for details.
Model improvement choice
Customer documents are not used for model improvement unless the account owner explicitly opts in from account settings. If consent is enabled, selected account content may be used to improve private DeepReference translation models. Consent can be withdrawn later.
Storage and providers
Document processing and storage are configured for EU data residency. Stripe processes payment data, Cloudflare supports security and delivery, and email providers handle account messages. Data is protected in transit with TLS.
Retention
Account data is retained while the account is active. Documents and translation memory entries can be deleted from the workspace. Security logs are retained for a limited operational window and then cleaned up automatically.
Your rights
You may request access, correction, deletion, portability, or withdrawal of consent. Requests can be sent to [email protected] and are handled according to applicable data protection law.
